About the Opportunity

We are seeking an experienced, autonomous, and professional Part-time Practice Manager to lead the complex administrative and business functions of our multi-site specialist medical practice.

The Practice Manager is the expert in managing the practice business, ensuring the professional and smooth business management that supports superior patient service. An effective manager is a leader who develops the practice and facilitates change and overseeing the tasks and projects assigned to administration and bookkeeping team.

Location & Work Commitment

This critical role coordinates operations for our dozen clinics held across Sydney, the ACT, and Rockhampton.

Mandatory Requirement: The successful candidate must be Sydney or lower Central Coast based to be able to attend at least one of four clinics during working days: Surry Hills, Wahroonga, Macquarie Park, or Gosford.

The position is part-time, requiring attendance for 2 days per week at the hourly rate of $40 per hour. This rate is highly competitive, exceeding the average hourly pay for a Practice Manager in Sydney.

Core Responsibilities (Supporting Quality Patient Flow)

The Practice Manager ensures operational processes directly contribute to high-quality, seamless care, working closely with the Doctor(s) and the wider team.

1. Operational Flow & Patient Preparation:

• Prioritisation: You will work closely with the Doctor(s) and the wider team to prioritise work week by week.

• Clinic Compliance: Essential focus on ensuring all patient documentation is handled correctly to guarantee a smooth Clinic for the Doctors. This involves verifying that all referrals are in place and all mandatory fields in the Halaxy Program are populated in advance.

• Systems Management and administration: Maintain efficient administration and appointment scheduling using the Halaxy Program. Keeping the team’s knowledge of practice IT systems up to date is also required.

Coordinate the weekly team meeting by preparing the agenda and keeping minutes for follow-up of actions assigned to team members.

• Quality & Risk: Look for the continuous refinement of current practices and lead risk management and quality improvement processes.

2. Financial Administration & Regulatory Compliance:

• Financial Management: Coordinate accounts receivable/payable with a critical focus on following up with unpaid invoices.

• Regulatory Liaison: Manage essential compliance and liaison, particularly with the Case manager for Workers Comp cases and addressing DVA matters.

3. Practice Growth & External Relations:

• Business Development: Dedicate time (approximately a couple of hours weekly) to actively reach out to GP practices and clinics to promote referral [query requirement], developing necessary relationships with relevant stakeholders.

Selection Criteria

We are seeking a confidential, highly organised professional who exercises initiative, discretion, and judgment.

Essential Criteria:

• Experience: Previous experience in a management and/or high-level administrative position in a medical practice is required.

• Systems Competence: Experience using practice management software (experience with Halaxy and Microsoft office is highly regarded).

• Interpersonal Skills: Excellent communication and interpersonal skills, with a professional and approachable manner.

• Problem Solving: Demonstrated administrative skills and the ability to work independently, exercising initiative and problem-solving abilities.

• Compliance Knowledge: Sound understanding of Medicare, DVA, and Workers Compensation billing requirements is essential.
