Position Overview

We are currently seeking a motivated and detail-oriented Project Administrator to support our project delivery team. This role is essential in ensuring seamless project operations, contract administration, reporting, and stakeholder coordination. You will work closely with Project Managers, Architects, Engineers, contractors, and senior management to support all stages of project execution.

Key Duties & Responsibilities Contract & Document Management

  1. Prepare, review, and manage variations to contracts and project scopes
  2. Maintain thorough documentation including contracts, change orders, and reports
  3. Ensure compliance with legal, safety, and company documentation standards

Project Coordination & Stakeholder Communication

  1. Coordinate with internal and external stakeholders to ensure project alignment
  2. Manage project schedules, arrange meetings, and track deliverables
  3. Resolve client and stakeholder inquiries in a timely and professional manner

Reporting & Performance Monitoring

  1. Prepare regular reports, agendas, meeting minutes, and compliance documents
  2. Collect and analyse data on project milestones, budgets, and resource allocation
  3. Support post-project evaluation by documenting outcomes and performance metrics

Contractor & Site Oversight

  1. Oversee contractor performance and ensure adherence to project timelines and scopes
  2. Record deviations or variations in work orders and support dispute resolution processes
  3. Assist with procurement tracking and invoice management for subcontractors and suppliers

Office Coordination & Resource Support

  1. Assist in planning and setting up new office accommodations as required
  2. Manage logistics, supplies, and administrative support for project teams
  3. Ensure smooth daily operations through proactive resource coordination

Executive Support

  1. Support senior management with project briefings, data summaries, and key updates
  2. Assist in implementing executive decisions and process improvements
  3. Maintain confidentiality and professional communication at all levels

Skills & Qualifications

  1. Qualification in Project Management, Construction, Business Administration or related field
  2. 2–3 years of experience in project coordination or administration (construction industry preferred)
  3. Excellent written and verbal communication skills
  4. Strong time management and multitasking abilities
  5. High attention to detail with a proactive problem-solving mindset
  6. Proficiency in Microsoft Office Suite and project management software (e.g., MS Project, Procore, or similar)
