Office Manager and Executive Assistant


Critharis Constructions is seeking a proactive and professional Office Manager and Executive Assistant to join our dynamic team. This position is ideal for someone who thrives in a fast-paced environment, takes initiative, and enjoys making a positive impact on both operations and executive-level support.

Key Responsibilities

Office Management

  1. Manage day-to-day office operations, including supplies, facilities, and general upkeep.
  2. Schedule and coordinate meetings, appointments, and company events.
  3. Maintain accurate and organised office records, databases, and filing systems.
  4. Provide administrative support for marketing and social media activities.
  5. Ensure the office operates in compliance with company policies and procedures.
  6. Oversee IT systems and software, coordinating with external IT support when needed.
  7. Deliver on-site administrative support as required to keep operations running smoothly.

Executive Assistance

  1. Offer high-level administrative support to the Managing Director (MD).
  2. Manage the MD’s calendar and appointments, including minute-taking and follow-ups.
  3. Conduct research and gather materials for executive decision-making.
  4. Assist in project management tasks and track action items to completion.
  5. Manage client communications with professionalism and attention to service.
  6. Prepare client proposals, contracts, and meeting documentation.
  7. Organise and coordinate client meetings and site visits.

Financial and HR Support

  1. Assist with finance tasks including credit card reconciliation and invoice processing.
  2. Provide support with HR functions such as onboarding and maintaining employee records.

About You

We’re looking for someone who:

  1. Brings at least 2 years of experience in a similar administrative or executive support role.
  2. Is optimistic, self-motivated, and anticipates team needs before they arise.
  3. Communicates clearly and professionally with internal and external stakeholders.
  4. Is approachable, friendly, and easy to work with.
  5. Learns quickly and adapts to changing priorities with ease.
